Terms of Service
The agreement between you and KBSalonBook.
These terms are a contract between Kevin & Bruno Solutions, Lda. ("KBSalonBook", "we", "us") and you. They cover our website and the KBSalonBook booking software. Please read them before you sign up — by creating an account or using KBSalonBook, you accept them. If you do not accept them, do not use the service.
1. Who we are and who these terms apply to
KBSalonBook is operated by Kevin & Bruno Solutions, Lda., registered at Rua Eusébio Exposto N17 2DC 4720-078 Braga, Portugal, VAT number PT518745759. You can reach us at [email protected].
These terms apply to two kinds of user, and some clauses only apply to one of them:
- Salons — the salon, barbershop or independent stylist who subscribes to KBSalonBook to manage bookings. Salons pay for the service.
- Clients — the people who book an appointment with a salon through a KBSalonBook booking page or the client portal. Clients never pay KBSalonBook anything.
2. What KBSalonBook does
KBSalonBook is booking software for salons. It provides a public booking page, a calendar, client records, a waiting list, and — as paid add-ons — automated messaging.
KBSalonBook is a tool. We are not a party to the appointment agreed between a salon and a client, we do not provide hairdressing services, and we do not take payment for them. Prices, cancellations, no-shows and the quality of the service itself are entirely between the salon and its client.
3. Accounts
You must be at least 18 years old to create a salon account. You must give accurate information and keep it up to date.
You are responsible for everything that happens under your account, and for keeping your password safe. You can sign in with an email and password or with your Google account. Tell us immediately if you believe someone else has access to your account.
You may not share one salon account between separate businesses, or resell access to your account.
4. Subscriptions, add-ons and prices
KBSalonBook is sold as a monthly subscription. The base subscription costs €13 per month and includes the calendar, bookings, client records and the waiting list.
Optional add-ons — such as WhatsApp messaging — are billed on top of the base subscription, each at its own monthly price. The current price of every add-on is shown before you buy it, both on our pricing page and in the app.
There is no free trial. A salon account has no access to the app until an active subscription exists. We may, at our discretion, grant a free or discounted account (for example, for testing or partnerships); such an account can be withdrawn at any time.
Your subscription renews automatically every month until you cancel it. We may change our prices, but we will tell you at least 30 days before a change affects you, and you may cancel before it takes effect.
5. Payments
Our payments are handled by Paddle, which acts as the Merchant of Record for every purchase. This means that when you subscribe, your contract of sale for that purchase is with Paddle, Paddle charges your payment method, Paddle issues your invoice, and Paddle handles VAT and sales tax.
Paddle's own terms and privacy notice apply to the payment itself, alongside these terms. We never see or store your full card details.
Taxes are added or included according to the rules of your country, as determined by Paddle. If your business is VAT-registered, you can enter your VAT number at checkout.
6. Non-payment and suspension of access
Access to the salon app requires an active subscription. If a payment fails or your subscription is not active for any other reason, your access to the app is blocked until payment is made. You will be taken to the billing page, where you can pay or update your payment method.
Your data is not deleted when access is blocked. We keep it so that you can pick up where you left off. If the subscription remains unpaid or cancelled, we may delete your data after 30 days, as described in section 12.
Your public booking page and your clients' access to their own bookings may also stop working while your subscription is inactive.
7. Cancellation, changes and refunds
You can cancel your subscription at any time. Cancellation takes effect at the end of the month you have already paid for; you keep access until then, and you are not charged again.
You can add or remove add-ons at any time. Paddle prorates the change, so you pay only for what you use in that billing period.
We do not generally refund a month that has already started, unless the law requires it or we have clearly failed to provide the service.
If you are a consumer in the EU, you have a legal right to withdraw from a distance contract within 14 days. Because you get access to the software immediately, you ask us to begin performance right away, and you accept that this right ends once the service has been fully provided for that period. Nothing here removes rights you have by law.
8. If you run a salon: your obligations
When you store your clients' details in KBSalonBook, you are the data controller for that information and we are your processor — we handle it on your instructions and only to run the service. This is set out in our Privacy Policy. Our Data Processing Agreement sets out exactly how we handle that data on your behalf; it forms part of these terms and is accepted when you subscribe.
This means you are responsible for:
- having a lawful basis to collect and store your clients' data, and telling them how you use it;
- obtaining consent where the law requires it — in particular before sending marketing or promotional messages;
- keeping your client records accurate, and responding to your clients when they ask to see, correct or delete their data (we will help you do this);
- the accuracy of what you publish on your booking page, including your services and opening hours.
9. Messaging (WhatsApp, SMS, email)
Automated messaging is a paid add-on. When it is off, KBSalonBook does not send messages to your clients on your behalf.
On the base subscription, KBSalonBook can prepare a WhatsApp message for you and open it in your own WhatsApp — you review it and press send yourself. The message is sent from your phone number, by you, not by us.
Messages sent through the add-on are delivered by third parties (Meta, which operates WhatsApp). We cannot guarantee delivery, delivery time, or that a network or platform will not block a message. You are responsible for the content of your messages and for following the rules of the platform you send them on, including WhatsApp's Business Messaging Policy.
Sending unsolicited marketing is a breach of these terms and may get your messaging suspended.
10. Bookings
A booking made on a public booking page is a request. It is not confirmed until the salon approves it. A salon may decline, move or cancel a booking.
Clients must give accurate contact details, including a phone number so the salon can reach them, and should let the salon know in good time if they cannot attend.
Any dispute about an appointment — including prices, no-shows and cancellation fees — is between the client and the salon. We may provide records of what the software did, but we will not arbitrate.
11. Acceptable use
You agree not to:
- use KBSalonBook for anything unlawful, misleading, or harmful;
- upload content that is illegal, offensive, or that infringes someone else's rights;
- send spam or unsolicited marketing through the service;
- attempt to access another salon's data, or any part of the system you are not authorised to use;
- copy, reverse-engineer, scrape, resell or white-label the service;
- deliberately overload, disrupt or probe our infrastructure.
12. Your data
Your data stays yours. You give us the permission we need to store and process it in order to run the service for you — nothing more. We do not sell it, and we do not use your clients' data to advertise to them.
You can download everything we hold about you at any time, as a JSON file, from Settings → Your data. You can also delete your account there: it cancels your subscription and permanently erases your salon, your clients and your history.
If you close your account or your subscription stays inactive, we may permanently delete your data 30 days afterwards. Ask us before then if you need an export.
13. Availability, support and changes
We work hard to keep KBSalonBook available, but we do not promise it will never be interrupted. We may need to take it down for maintenance, and things occasionally break.

We improve the product continuously, so features may change. If we remove or materially change something you rely on, we will give you reasonable notice.
14. Intellectual property
KBSalonBook — the software, the design, the name and the logo — belongs to us. Your subscription gives you a limited, non-exclusive, non-transferable right to use it while your subscription is active. It gives you no other rights over it.
15. Disclaimers and limitation of liability
KBSalonBook is provided as it is. To the extent the law allows, we do not give guarantees that it will be free of errors or interruptions, or that it will fit a particular purpose.
To the extent the law allows, we are not liable for indirect or consequential loss, lost profits, lost bookings, or lost revenue. Our total liability to you in any 12-month period is limited to the amount you paid us in that period.
Nothing in these terms limits liability that cannot be limited by law — including liability for death or personal injury caused by our negligence, for fraud, or for the statutory rights of a consumer.
16. Suspension and termination
You can stop using KBSalonBook and close your account at any time.
We can suspend or close an account that breaches these terms, does not pay, or puts our service, our other users or their data at risk. Where it is reasonable to do so, we will warn you first and give you a chance to fix the problem.
When an account ends, access ends, and the data-retention rules in section 12 apply.
17. Changes to these terms
We may update these terms — for example when we add a feature or the law changes. If a change matters to you, we will tell you by email or in the app at least 30 days before it takes effect. If you keep using KBSalonBook after that, you accept the new terms. If you do not accept them, you can cancel.
18. Governing law and disputes
These terms are governed by the law of Portugal, and the courts of Lisbon, Portugal have jurisdiction.
If you are a consumer, you keep the protection of the mandatory laws of the country you live in, and you may bring proceedings there. The European Commission's online dispute resolution platform is no longer available; you can find your national consumer dispute resolution body via the Commission's Consumer Redress in the EU directory instead.
